Personal Data Protection Notice (KVKK)

This notice is provided under Turkish Personal Data Protection Law No. 6698 (“KVKK”) to inform you about the personal data processed through the rubion.io website and the channels you use to contact us. The Turkish version of this notice prevails.
1. Data controller

2. Personal data we process
- Identity: your name
- Contact: your email address
- Professional: the name of your company (if you share it)
- Request details: the service you are interested in and the content of your message
- Security: IP address, browser information and access time recorded in our hosting provider's server logs when you visit the site
3. Purposes of processing
- Responding to your requests and questions, and contacting you
- Preparing proposals for our services and conducting pre-contract discussions
- Recording early-access requests for our products (e.g. Collecsi)
- Keeping the website secure and preventing abuse
- Fulfilling our legal obligations
4. Legal grounds
Your personal data is processed on the following legal grounds under Article 5(2) of the KVKK:
- (c) Processing is directly related to the formation or performance of a contract: responding to your request and handling proposals
- (f) Our legitimate interest, provided it does not harm your fundamental rights and freedoms: maintaining communication and site security
- (ç) Processing is necessary to comply with our legal obligations
5. Sharing of personal data
We do not sell your personal data or share it with third parties for marketing. To provide our services, it is shared only as necessary with the following service providers:
- Google LLC (Google Workspace): messages from the contact form and email correspondence are delivered and stored on this infrastructure.
- Vercel Inc.: hosts the website; server logs are created when you visit.
6. Transfers abroad
The servers of these providers may be located outside Türkiye (mainly in the United States and the European Union). Your personal data is therefore transferred abroad in accordance with Article 9 of the KVKK.
Where required by law, your personal data may be shared with authorized public institutions to the extent provided by legislation.
7. How we collect data
Your personal data is collected electronically through the contact form on our website and the emails you send us; server logs are collected automatically when you visit the site.
8. Retention
Your personal data is kept for as long as the purpose of processing requires, and in any case for no more than 2 years after your request is concluded; if a contract is formed, the retention periods set by the relevant legislation apply. After that, your data is deleted, destroyed or anonymized.
9. Your rights (KVKK Article 11)
By applying to Rubion, you have the right to:
- learn whether your personal data is processed,
- request information about the processing,
- learn the purpose of processing and whether data is used accordingly,
- know the third parties in Türkiye or abroad to whom your data is transferred,
- request correction of incomplete or inaccurate data,
- request deletion or destruction of your data under the conditions in Article 7 of the KVKK,
- request that corrections, deletions or destructions be notified to third parties to whom the data was transferred,
- object to a result against you arising exclusively from automated analysis of your data,
- claim compensation for damages arising from unlawful processing.
10. How to apply
You can send your requests in writing to our address above, or by email to hello@rubion.io from the email address you previously provided to us and that is registered in our systems.
Your request will be concluded free of charge within 30 days at the latest, depending on its nature. If the process requires an additional cost, a fee may be charged according to the tariff set by the Turkish Personal Data Protection Board.
